Survey Privacy Policy

UltraFeedback is committed to protecting your privacy.

We use the information we collect on our surveys to provide information to support better decision-making by those interested in that information.

The process is intended to be clear. You are given full control over the information you provide and whether and how any identification is linked to that information.

You can access all the information you have provided.

UltraFeedback will not sell, trade, give or rent any personally identifiable information obtained from you to a third party unless you consent unless we are required to do so by law enforcement agencies or other legal action.

UltraFeedback's commitment to you as a survey participant or customer includes:

  1. Allowing you to decide what personally identifiable information we collect.
  2. Protection of your privacy.
  3. Respect for your requests regarding our contact with you.

Overview of Privacy Policy

Protection of your privacy is of fundamental importance to UltraFeedback. As an independent research business, our commitment to your privacy is absolute. If we do not satisfy our clients about privacy protection, we do not have a business.

The purpose of our surveys is to share information in a confidential and trusting manner for the benefit of participants. The information and commitments in this privacy policy apply to all sites administered by UltraFeedback Pty Ltd.

We do not accept advertising on our web sites and will absolutely not use your email addresses for any purpose not connected with the management of our surveys.

We use a type of cookie, called a session object, to maintain the connection between pages during the time that you are entering responses to the survey. All our cookies are deleted from your computer as soon as your session expires. No identifying information is left on your computer.

Neither general nor custom reports will identify individual responses, although quotations may be made from textual responses if in our opinion this cannot identify the respondent. Fields with three or fewer responses in Benchmark surveys will be withheld from publication.

Individual responses will not be identified to any party not using the username and password corresponding to the secure access of that individual. No identifying information is connected to survey responses unless you explicitly agree to share your responses with the survey sponsor. Details of which username corresponds with which email address is held separately from password data and also separately from responses. Respondents are urged to keep their username and password details confidential as UltraFeedback and its employees and associates cannot be held responsible for breaches of security outside its control.

Information provided by participants is stored on the secure UltraFeedback.com website. The data is owned by UltraFeedback Pty Ltd (ABN 97 094 658 054) and is to be used only and expressly for the purposes expressed in the introduction to each survey. Under no circumstances will data be sold outside the survey for which the data was collected. This commitment remains if UltraFeedback Pty Ltd ceases to exist or becomes no longer the controlling owner. If it becomes impractical to maintain these commitments the data will be removed and totally destroyed from all controlling electronic systems.

Complaints

A complaint is any concern you have about our research activity. Initially, the concern is best raised with the manager of the particular survey, whose contact details are on the bottom of each page. Should your concern not be immediately resolved to your satisfaction, contact should be made via email to colin.jevons@ultrafeedback.com. Colin Jevons, our Chief Information and Quality Control Officer, will respond within 14 days via return email with a clear explanation of the process to achieve satisfactory resolution.

Our Complaint-handling procedures are designed to be:

  • readily available to any individual who participates in our surveys;
  • available to any individual about whom a participating organisation holds personal information that we may be using on their behalf;
  • promoted with each survey;
  • easy to use;
  • able to be used by complainants without any charge or fee.

If a resolution cannot be achieved to the satisfaction of the complainant within 60 days of the complaint being brought to the attention of the Chief Information Officer, the complaint will then be referred within 7 days thereof to an Independent Adjudicator. This adjudicator will be agreed through mutual discussion. Failing agreement, the adjudicator will be appointed by the Australian Privacy Commissioner. (http://www.privacy.gov.au).
